    Position Summary

    To answer telephone calls, meet & greet clients and look after meeting room resources as well as ad-hoc duties. To assist the Facilities team or company with ad-hoc administration duties. The Working hours for this role are 8am-4:30pm with flexibility to swap shifts with another receptionist if required.


    • Answer and direct incoming calls including connecting callers to voicemail and taking/relaying accurate messages
    • Liaise with staff regarding setting up of voicemail and out of office notifications.
    • Meet and greet all visitors and clients and offer refreshments etc.
    • Assist with arrivals for screenings, offer drinks and refreshments as requested
    • Order couriers/taxi’s and sign for deliveries
    • Order catering from preferred suppliers for (breakfast and lunch) meetings when requested
    • Manage all incoming and outgoing post
    • Sort and distribute daily newspapers between relevant departments and reception area
    • Distribute milk and fruit deliveries accordingly on all floors
    • Keep reception and front of house clear and tidy at all times
    • Oversee the room booking system, changing and rebooking rooms to accommodate meetings and requests. Liaise with the Facilities Manager /IT Manager regarding any issues with the system or room requirements.
    • Prepare and clear meeting rooms in the morning as well as after meetings, including prearranging refreshments, checking audio equipment and redressing the room.
    • Update all reception documents as needed (Reception contacts, suppliers, account information, Reception Guide, Staff directory)
    • Monitoring/ordering stationery and kitchen supplies and ensure stock levels are kept at an adequate level on each floor.
    • Process invoicing pre& post ordering through online PO system


    Ad-hoc Duties:

    • Liaise with suppliers
    • General Administration duties
    • Liaise with buildings management when necessary
    • Assist with cost reductions where necessary
    • Assist with company events when required

    Key Competencies

    • Previous experience of working in a busy reception area
    • Exceptional telephone manner
    • Excellent communication and organisational skills
    • Strong administrative skills and knowledge of computer packages, Word, Excel, & Outlook
    • Good problem-solving skills
    • Excellent at multitasking
