Position Summary

To assist the Manager, Facilities and Reception team with day to day operations across two office sites. This role includes reception duties and general administration responsibilities to assist the Manager, Facilities in the smooth running of the office sites to an exceptional standard.

This is a part time role working 27.5 hours a week. Hours will be Monday to Thursday, 1.00pm-6.30pm and Friday, 9.30am-6.30pm.


  • General day to day facilities support between two key office sites
  • Full day cover for receptionist on Fridays 9:30-6pm
  • Cover receptionist holidays and sickness as necessary
  • Assist reception with distribution of incoming post and packages to staff
  • First point of call for air-conditioning change requests
  • Assist with arrivals for screenings/large meetings (during working hours, offer drinks and refreshments as requested
  • Cover reception lunches and post runs so there is 2 people on reception
  • Extra post/parcel deliveries to help with family ever increasing deliveries
  • Office project help (new office location, recycling etc.)
  • Archiving project- (sourcing new company, merging different suppliers into one)
  • Scanning and sending on all eOne features correspondence to LA office
  • Assist with internal company events: Summer/Christmas parties, drinks evenings etc.
  • Help reception prepare and clear meeting rooms after meetings, including prearranging refreshments, and redressing the room
  • Assist with cost reductions (office stationary, couriers etc.)
  • Champion health and safety requirements around the office
  • Process invoicing pre & post ordering through online PO system
  • Ordering office stationary/sort & unpack keeping all stock levels up to date and tidy on each floor   


Reception Duties

  • Flexibility to cover other reception shifts when needed
  • Answer and direct incoming calls including connecting callers to voicemail and taking/relaying accurate messages
  • Meet and greet all visitors and clients and offer refreshments etc.
  • Order couriers/taxi’s and sign for deliveries
  • Collect, sort and frank the outgoing post
  • Sort and distribute daily newspapers between relevant departments and reception area
  • Distribute milk (daily) and fruit deliveries (bi weekly) accordingly on all floors
  • Keep reception and front of house clear and tidy
  • Oversee the room booking system, changing and rebooking rooms to accommodate meetings and requests
  • Liaise with the Facilities Manager /IT Manager regarding any issues with the system or room requirements
  • Book meeting rooms on request ensuring no clashes and to ensure efficiency of the rooms
  • Prepare and clear meeting rooms after meetings, including prearranging refreshments, checking audio equipment and redressing the room
