Position Summary

The Receptionist, as the first point of contact, will respond with a high level of professionalism, with an emphasis on great customer service.  This position facilitates and ensures smooth and efficient operations of the front office.  The incumbent will need to greet all visitors respectfully and in a professional manner. In addition to these duties, various administrative functions fall into the scope of responsibility of the role.


  • Handles queries and requests from visitors, staff, vendors and the public.
  • Greets visitors and accommodates them, and re-directs when necessary.
  • Provide timely, efficient, accurate and professional administrative support
  • Handles incoming calls and directs to the correct department.
  • Coordinates facility services communications between all departments via Yammer and email.
  • Assists with meeting room bookings when required.
  • Maintain reception floor and main boardrooms through cleanliness, and general maintenance
  • Logging and maintaining FOB tracker system
  • Maintaining Rogers binders
  • Maintaining inventory of office supplies
  • Organizing paystubs
  • Acts as back-up for the Smart Centre during down time.
  • Creating shipping labels through FedEx & Quick Messenger Service
  • Managing communication with employees regarding the status of their shipments  
  • Organizing and researching Package/delivery estimates
  • Maintaining and updating a tracking system for packages as they arrive and notifying individuals to pick them up
  • Canada Post mail: stamping, drop off, pickup
  • Files and arranges documents (online) as required under direction.
  • Maintains the taxi chits, and logs the distribution of them.
  • Tracking invoices, creating fobs and managing fob tracking
  • Creating shipment labels.
  • Ordering/Maintaining office supplies.
  • Maintain executive kitchen and supplies
  • Ad hoc work required as per the needs of the facilities team. 

Key Competencies

  • Good working knowledge of MS Office (Word, Excel and Outlook)
  • 3+ years administrative experience working in a fast pace environment
  • Positive, enthusiastic and professional attitude
  • Excellent communication skills, written, verbal and interpersonal skills
  • Excellent interpersonal skills, tact, and discretion in dealing with a wide variety of people and personalities.
  • Strong organizational skills, independent judgment, confidentiality, time management, attention to detail, and flexibility to work with changing priorities under pressure.
  • Detail oriented and able to multi-task
