Position Summary

The Administrative Assistant for eOne Family will play an intricate role in the day-to-day administration of our growing Family division.  In this role you will work closely with our Director of Production and Vice President of Creative Affairs and manage the following responsibilities: 

Responsibilities

  • To undertake efficient calendar management for the VP Creative Affairs, the Director of Production and other members of the Family division
  • To manage up-to-date contact information on clients and service providers
  • To maintain and update databases and filing systems
  • To take the minutes for meetings if necessary
  • To provide administrative support for internal and external meetings, including preparation for markets and festivals involving scheduling meetings, booking meeting rooms and external venues and liaising with clients and colleagues to ensure a smooth event
  • To organise travel arrangements members of the Family division including booking flights, accommodation, car hire, taxis and restaurants
  • To process expense reports for all members of the eOne Family team
  • To process and track all invoices related to development projects and general expenditures for the department from receipt of invoice through payment
  • To organise screenings including booking the venue, arranging catering, sending invitations
  • To liaise with assistants in the London, Hong Kong and New York offices on work related to sales and marketing of television and licensing for our projects
  • To help out on production, development and department requests where necessary and offer general assistance to the department in our "all hands on deck" team culture
  • To undertake any other administrative tasks which will ensure the smooth running of the Family division
  • To project a professional image of Entertainment One by dealing with all correspondence and communication in a polite and professional manner

Key Competencies

  • Knowledge of and enthusiasm for entertainment business and family programming and content!
  • Strong experience using MS Office including: Outlook, Word, Excel and PowerPoint
  • Experience with Adobe Photoshop
  • Good communication skills with the ability to deal with contacts at all levels
  • Keen attention to detail
