Position Summary

The US HR Specialist is responsible for a full range of HR Functions within the HR department. The role supports the HR team by co-ordinating and following through on various activities. 

Responsibilities

 

HR/Payroll Administration

 

  • Be the first point of contact for all HR-related queries.
  • Support the recruitment process which includes assisting in creating offer letters, conducting background and reference checks and facilitating all onboarding activities between the HRBP and hiring manager.
  • Prepare various employee letters (i.e. transfers, promotions, employment verification, FMLA Paperwork etc.)
  • Facilitate new hire orientation sessions and ensure timely completion of new hire packages including health insurance and 401k paperwork.
  • Partner closely with Benefits and Payroll team to ensure all processing of employee benefits and compensation are accurate updated in a timely manner.
  • Maintain employee information in HRIS System and ensure integrity of reporting at all times, including FMLA and tracking of all other leave of absences.
  • Assist in the timely, accurate submission of payroll tax and labor reports
  • Audit payroll reports to ensure changes were made and payroll is accurate before it is finalized; audit payroll register after processing
  • Create and maintain Organizational Charts.

Benefits Administration

 

  • Handle administrative aspects of benefit plan maintenance, including data entry internally and externally for enrollments, terminations, forms collection, Cobra reporting (to 3rd party administrator) and changes.
  • Reconcile and code benefit invoices for approval
  • Benefit Plan new hire employee enrollments and open enrollment transactional processing

Key Competencies

  • Post-secondary education
  • 3-4 years of progressive HR experience, coordinating departmental programs and initiatives is an asset.
  • Customer service focused with ability to build effective partnerships both internally and externally
  • Ability to demonstrate diplomacy.
  • Excellent verbal and written communication skills.
  • Knowledge of HR related principles and best working practices and procedures.
  • Ability to handle multiple priorities while delivering effective results within prescribed timelines.
  • Highly organized and has a high degree of attention to detail.
  • Problem solver with demonstrated initiative and sound judgement for effective decision making.

 

Technical Competencies:

  • Experience with Ceridian HR/Payroll Web and Ceridian Self Service products a plus
  • Understands and interprets US Employment Legislation to support and guide compliance.
  • Experience with California labor law an asset
  • Intermediate in Microsoft Office programs (Excel, Word, Power Point, Outlook)
