Position Summary

Reporting to the SVP, Global Production Affairs, the Production Coordinator will be responsible for a slate of productions on which they will provide dedicated services.


  • Setting up key crew interviews, travel, coordinating payment of key crew and helping with logistics of distributing info and documentation during the start-up and pre-prep stages of a production
  • Researching and contacting crew possibilities during start-up with the guidance of the VP of Production Affairs
  • Under supervision, the breaking down of scripts, inputting and evaluating schedules.
  • Ensuring start-up budget lines are adhered to when it comes to travel and other start-up costs. Tracking these costs. Some preliminary budget breakdown and sourcing quotes as required.
  • Liaising internally with legal, accounting and business affairs departments and externally with production personnel to ensure proper documentation is being completed and collected during production. This includes: initiating and complete insurance applications, union documentation, contracts, required materials for tax credits, clearance materials, credit information, delivery requirements for broadcasters and distribution, production schedule information. Some preparation of documentation (deal memos, union paperwork, etc) as required.
  • Ensuring production manual is distributed and all elements are understood by external production personnel. Liaising with show production coordinator to establish continued communication and ensuring all paperwork requirements are met.
  • Ensuring production materials are properly organized and archived on the shared computer drives.
  • Keeping track of production schedules and delivery dates for internal tracking and reporting.
  • Alerting departments internally when key production dates are met: start of principal, delivery of rough cuts, etc to ensure that financiers are being invoiced.
  • Reporting regularly and working as a team with the V.P, Production Affairs to ensure that each production is organized and reporting back to the corporate office. Visiting sets and attending production meetings as required.
  • Providing general support for VP, especially when VP is on a distant location.
  • Wrapping productions – tracking storage of sets/set dec, tracking related storage costs.

Key Competencies

  • Ideally, 1 - 3 years previous Production Assistant experience in television
  • Post-Secondary Degree or Diploma
  • Knowledge of MS Office (Word, Excel and Outlook)
  • Must be detail oriented, thorough, and able to multi-task in high volume, deadline driven environment while helping to manage many different projects at any given time.
  • Strong analytical and problem-solving skills
  • Excellent written and verbal communication skills
  • Appreciation of television with good critical analysis skills and a positive attitude
